How to handle make-up lessons or let students pick their schedule

Over time, we’ve had a few requests from teachers who want to be able to keep track of make-up lessons in Music Teacher’s Helper. We’ve also had requests from teachers who want to setup available lesson times, and let students pick from available slots on a first-come, first-serve basis.

One of our most active members came up with a brilliant idea that will let you do both of these right now. Here is what he said:

I have always wanted a way for students to see makeup slots and prospects see openings. It is happening now. I create an event, titled something like “Open Make-up Slot” or “Open Slot”. All can see it (since I didn’t assign a student to it). When a student clicks on it, I am notified by email of a cancellation request and makeup for this slot. I simply go to the calendar and edit the “Open Slot”, set it to the student’s name, which removes the available slot from all and let’s just the interested student see it as a makeup. I also change the category to “Make-up Lesson” instead of “Open Slot”, as I color code each category so it is easy to look at the month or week and see openings, makeup’s and regular lessons. It is working great! This is the one feature I needed the most and now I have it. I know you meant it for other uses, but this is a perfect solution to my problem. This has become one of the most important and time saving features. No other music web site does this.

When I asked if he’d mind if I posted his discovery, he said:

Please post whatever you think might help others. This is one of the best features of the site. Even students and parents not really involved before are now using it like crazy.

  1. I'm trying this out, creating public events marked "OPEN for lesson." I'm also offering a generic user name and password so that new students can get into my online calendar and see the public events, including open lesson times. This way they can think through what lesson times would work for them, which cuts down on going back and forth with someone about available times. Existing students can also see available makeup times. It will take time to try but seems very useful.

  2. Remember that if you don't assign any students to an event, it is a "global event" and any student that logs in will be able to see it. Once you add a student to that event, it will be viewable by only that student. Group lessons would work the same way except you'd add several students to the event.
